CISU’s requirement for ongoing monitoring of partners in CISU-funded grants is outlined in the grant letter, which is sent along with the CISU contract to all grant recipients. The grant letter refers to CISU’s supervision tools available on our website.

Monitoring take place at multiple levels, involving the grant recipient as well as all involved partners, and cover several aspects of the projects, including organization, accountability, and financial management.

Monitoring: What should your organisation do?

As a grantee, it is important that you monitor your own and your partners' activities, financial management, and implementation.

For your monitoring to be as effective as possible, it is essential that you have a monitoring procedure that outlines how you conduct oversight, such as online, physical visits, etc., as well as the tools you use.


Additionally, it is required that you document this monitoring in the form of reports and that documentation of spot checks of financial records is kept accessible and in accordance with CISU’s rules for record retention.

Inspiration and examples of working with monitoring

CISU has developed the following checklists, which are used during our own supervision visits when staff conduct oversight with Danish organizations and their partners.

  • The Organizational Development Tool (ODT) is a tool developed by CISU to assess and facilitate dialogue about an organization’s structures, internal coherence, etc.

  • The Accountability Checklist was developed by CISU to ensure that all accountability requirements are met and to facilitate dialogue on procedures and outcomes.

  • The Financial Checklist was created by CISU to evaluate the financial management of CISU-funded projects with grant recipients and partners, including spot checks of records, etc.


Humentum 

Humentum is a global non-profit organization, established in 2017 from the merger of InsideNGO, LINGOs, and Mango. It works with humanitarian and development organizations worldwide to improve their systems and operations, helping CSOs/NGOs become more accountable, resilient, and equitable.

Humentum offers a large catalog of tools, training, blogs, and more. One of their most widely used tools is their “Financial Health Check,” which helps organizations assess financial management, internal controls, and related aspects within their organization.
